Job Description: Operations Coordinator

Job Title: Operations Coordinator

Salary: £23,000 – £25,000

Contract Type: Permanent

Hours: Full-time, Monday – Friday, 37.5 hours per week

Reporting to: People Development Manager

Job summary

The successful candidate will closely support Operational Delivery team at Koreo, by carrying out the administration and coordination of critical systems & process that underpin our recruitment, placement, matching & compliance work. They will work regularly with other members of the Operational Delivery Team and staff across the company.

 



Main Duties and Responsibilities

Administer & coordinate Koreo’s recruitment & selection systems and processes.

Act as the first point of contact for candidates applying for one of our talent development programmes, dealing with queries via phone or email.

Manage communication with subcontractors that supply Koreo’s online applicant tracking system & psychometric tests.

Produce and implement resourcing plans for shortlisting activities and assessment centres, including booking and liaising with venues.

Administer and coordinate placement matching processes across the company.

Administer and coordinate mentor matching processes across the company.

Administer and coordinate accreditation processes across the company.

Administer and coordinate the process for marking research assignments.

Administer and coordinate quality assurance processes and produce quality reports.

Ensure candidate data is effectively stored and managed to provide a quality candidate experience and GDPR compliance.

Maintain organised and up-to-date online filing systems and databases.

Other Responsibilities

Occasional UK travel, evening working and overnight stays will be required.

Act in a manner that is in keeping with Koreo’s values.

Undertake any other duties as required and commensurate with the level of this post and contribute as required to the wider work of Koreo.

Ability to take initiative and effectively solve problems – You will be a natural problem solver, and you are able to quickly spot and manage key risk areas.

Attention to detail – You are an excellent proof-reader and you are able to work confidently with large quantities of complex data.

Customer service – You should understand who your beneficiaries are (internal & external) and show a commitment and desire to anticipate, meet and exceed their needs and expectations.

Build positive relationships – This is about being a good team player and being able to build and maintain strong inter-personal relationships. You will be able to develop excellent professional relationships with colleagues and beneficiaries, respecting others and collaborating effectively to achieve shared goals.

Written and verbal communication – We are looking for people who can communicate clearly and effectively, both verbally and in writing. You should be confident at conversing with a variety of people and be able to adapt your style to different audiences and through different mediums.

Adaptable: You will cope well with changing demands and environments and maintain your effectiveness and productivity throughout. You will be flexible and able to work in different settings and with different people.

Comfortable in a small, busy team and company.

Experience

Essential

Knowledge & minimum of 12 months experience of running systems & processes that relate to recruitment & selection or compliance.

Knowledge and minimum of 12 months experience in an administrative or coordination role.

Advanced knowledge and experience of using MS Excel to analyse data (including using functions such as pivot tables and VLOOKUP).

Experience of using CRM platforms (ideally Salesforce).

Competent at using MS Office and Google suite (prior experience running mail merges would be a plus).

Comfortable using a variety of online database systems.

Desirable

Previous experience in supporting a mass recruitment process.
